Let’s talk about something I know a lot of thoughtful business owners are feeling:
You want to make things easier. You want your backend cleaned up, your emails sent, your offers clear and ready.
But the second someone says “automate it,” your stomach tightens.
Because your work is personal.
You care about your clients.
You want things to feel held and high-quality, not cold and corporate.
I get it. I felt the same way for a long time. I worried that if I started automating parts of my client journey, it would feel less human. Less me.
But here’s what I’ve learned – and what I’m now living, literally, as we prepare to take our family on a year-long caravan trip across Australia:
Automation doesn’t remove connection. It makes room for it.
It’s not about disappearing.
It’s about making sure the important things still happen, even when life is full or your laptop is closed for a few days.
What We Actually Mean When We Say “Personal Touch”
Personal doesn’t have to mean manual.
It doesn’t have to mean live.
It doesn’t have to mean you doing everything yourself, in real time.
What your clients really want is to feel:
- Seen
- Supported
- Clear on what’s happening
That can absolutely come through a scheduled welcome email.
Or a pre-built onboarding workflow.
Or a check-in message you wrote last month, that lands at the perfect time.
You’re still the one setting the tone.
Automation just makes sure it actually gets delivered — even when your brain is full or you’re parked at a beachside caravan site without Wi-Fi.
Let’s Be Honest: We All Expect Automation Now
We’re not silly. We all know businesses are automating more than ever, and honestly, we like it.
We expect to:
- Book the coaching call at 9.49pm when we finally remember
- Get the confirmation email instantly, not two days later
- Buy the offer without back-and-forth or waiting on someone’s schedule
Your clients don’t see automation and think, “How impersonal.”
They think, “Oh good. She’s organised. This feels easy.”
They feel taken care of because you’ve thought ahead.
That’s personal. That’s intentional. That’s leadership.
A Few Ways I Use Automation That Still Feel Human
You don’t need to overhaul your whole business to start.
But here are a few places automation has helped me serve better — not just faster:
1. A Beautiful Onboarding Flow
The moment someone says yes, they get a warm, thoughtful welcome email. It’s pre-written, but it sounds like me. It sets the tone. It answers their questions before they even think to ask.
No delays. No inbox chaos. Just a really good start.
2. Mid-Project Check-Ins
These are scheduled, but still personal.
I might write something like:
“Hey, just checking in, how are things landing for you this week?”
It’s short. It’s kind. It creates space for them to speak up without needing me to remember to reach out.
3. Offboarding With Intention
When the project ends, they get a final note with a thank you, some feedback questions, and a little “what’s next” nudge.
It wraps things up gently, and keeps the relationship open.
All of this is automated. But it’s not robotic.
It’s warm. It’s structured. And it runs even when I’m not at my desk.
What It’s Given Me (and My Clients)
Since building out these systems, here’s what I’ve noticed – both in my energy and in how clients respond:
- Fewer questions
- Smoother experiences
- More space to actually show up when it matters most
I’m not scrambling.
They’re not wondering.
We both feel clearer.
And now, as we gear up to travel for a whole year – I don’t feel stressed about holding it all.
The systems hold it.
The automation holds it.
Which means I can hold space for my clients and my family — without compromising either.
You’re Still the Heart. Automation Just Carries the Message.
You don’t have to give up care to build systems.
You don’t have to choose between presence and efficiency.
In fact, when you build your automation with intention, your business becomes more personal — not less.
Because your clients feel the difference between chaos and clarity.
And the more you honour your own time and capacity, the more space you create to lead with the calm, grounded energy they came to you for in the first place.
